ESTRO 2020 - New concept, new dates

Early Registration Deadline: 30 September 2020 (23:59 CET)

In order to give members of our community the best possible experience, ESTRO 2020 will take place in Vienna both as a live and an online congress.

Attendees can therefore choose the modality of their participation, either registering to the live event in Vienna or to the full congress, streamed digitally. 

Thanks to this blended approach, all registered attendees will be able to access the event, in a new format with content before, during and after the actual Congress:

  • Digital pre-congress Sessions – These sessions will take place digitally as a build up to the ESTRO 2020 congress. A detailed calendar will be published in September.
  • ESTRO 2020 Congress – Attendees will be able to opt for a live participation in Vienna or for a live-streaming of the full scientific programme via a new and dedicated digital platform. Q&A and polling software will ensure the possibility to interact with the speaker.
  • Webcasts – following the event, the sessions’ webcasts will be available on the myESTRO portal to all registered participants.
  • A Virtual technical exhibition, will take place during ESTRO 2020: the industry partners will be showcasing products and novelties, and will propose digital satellite symposia.

For the participants registering to the live event, taking place in Vienna from 28th November to 1st December 2020, the registration fee will include:

Pre-congress sessions:

  • Access to the offering of digital sessions building up to the ESTRO 2020 event.

ESTRO 2020:

  • Access to the annual congress on site, its scientific programme and networking opportunities with peers and experts.
  • Access to the poster area, to the poster sessions and to the digital posters platform
  • Access to the Exhibition Corner on site: the dedicated space to meet live with industry delegates.

MyESTRO portal:

  • Access to the webcasts of the event via the MyESTRO portal.

Virtual Exhibition:

  • Access to the Virtual Exhibition and the digital industry symposia.

 

For the participants registering to the online event, streamed live from Vienna, between the 28th November and the 1st December 2020, the registration fee will include:

Accreditation

The ESTRO 2020, Vienna, Austria, 03/04/2020-07/04/2020 has been accredited by the European Accreditation Council for Continuing Medical Education (EACCME®) with 21 European CME credits (ECMEC®s).

Each medical specialist should claim only those hours of credit that he/she actually spent in the educational activity. Through an agreement between the Union Européenne des Médecins Spécialistes and the American Medical Association, physicians may convert EACCME® credits to an equivalent number of AMA PRA Category 1 CreditsTM. Information on the process to convert EACCME® credit to AMA credit can be found at www.ama-assn.org/education/earn-credit-participation-international-activities.

Live educational activities, occurring outside of Canada, recognised by the UEMS-EACCME® for ECMEC®s are deemed to be Accredited Group Learning Activities (Section 1) as defined by the Maintenance of Certification Program of the Royal College of Physicians and Surgeons of Canada.

Access to the digital content will be available free-of-charge for participants attending the live congress.

  • Cancel my registration – You can cancel your registration and get a full refund of the registration fee minus handling charges of 15%. This option is available until 2 months before ESTRO 2020, i.e. until 28 September 2020. Between 28 September and 12 November 2020, the refund will amount to 50% of the registration fee. No refund will be possible if the cancellation is postmarked after 12 November 2020.
  • Cancellation policy related to COVID-19: If you are unable to attend ESTRO 2020 due to the COVID-19 emergency, (e.g. lockdown enforced in your country, Visa restrictions, obligation to stay on-site by your institution), you are entitled to receive a full refund of your registration fee at any time, minus 15% handling charges.  This policy applies to the following cases:

    • You are suffering from the coronavirus before travelling to ESTRO 2020 (please provide us with an official document from your hospital or physician)
    • A lockdown, quarantine or travel restrictions are being enforced in your city or country at the time of the event
    • Your institution is requiring you to stay on-site (please provide us with an official statement from your employer)
    • Your local embassy does not deliver Visas anymore (please provide us with an official statement from the embassy)

FRAUDULENT WEBSITES AND AGENCIES
We are aware that a number of service providers have contacted companies who have supported our events and/or participants to offer hotel reservation services. Additionally, we are increasingly being confronted with fake websites which seem to relate to congresses but have not been commissioned or authorised by ESTRO neither their PCO Mondial Congress & Events. Therefore we strongly recommend ignoring these calls (and/or emails) and NOT PROVIDING credit card details.

Interdisciplinary, Radiobiology, RTT:

Abstracts are selected for one of the following presentation formats:

Oral presentation: abstracts selected for oral presentation are presented at one of the proffered paper sessions scheduled in the programme.

Poster: abstracts selected as poster will be presented in one of the following three presentation formats:

  • Poster Highlights: Poster (in printed version) is mounted on the designated poster panel in the poster area. The poster is presented/discussed verbally during a Poster Highlights session in the poster area at the poster grouping of the designated topic. These sessions will be led by two chairpersons. The authors of the selected posters will visit all the posters within each group (topic), along with the session chairs and participants. Each author will present his/her poster verbally in 5 minutes, followed by 3 minutes for discussion. Authors of the abstracts selected for a Poster Highlights session must upload an electronic version of their poster and print their poster via the ESTRO subsidised poster platform. More information will be provided in due time.
     
  • Poster Discussion: Poster (in electronic version only) is presented/discussed verbally during a Poster Discussion session. Poster Discussion sessions will take place during the designated coffee breaks. These sessions will be led by two chairpersons. The author will present his/her poster verbally around a station where the posters are shown in electronic format in 3 minutes, and then there will be 2 minutes for discussion. Authors of the abstracts selected for a Poster Discussion session must upload an electronic version of their poster via the ESTRO subsidised poster platform. More information will be provided in due time.
     
  • Poster: Poster (in electronic version only) will be available for viewing at special stations in the congress venue. These posters in electronic format are not discussed by the authors during specific sessions in the programme. However, authors are free to invite interested participants to one of the e-poster stations to explain the poster content during the congress. Authors of the abstracts selected as Poster must upload an electronic version of their poster via the ESTRO subsidised poster platform. More information will be provided in due time.

 

Following the extension of public health safety measures in relation to COVID-19 across the world, ESTRO 2020 will launch a new concept and will blend virtual and on-site activities.

With the exhibition becoming virtual in 2020, ESTRO will offer the possibility to opt for company-branded kiosks on-site to allow face-to-face engagement with participants.

I did register to ESTRO 2020 before the change of dates and I wish to attend ESTRO 2020 in Vienna at the new dates. What should I do?

If you plan to attend ESTRO 2020 this autumn, no action is required on your side. As a registered participant, your registration will automatically be transferred to the re-scheduled congress.

  • If you are registered for the full Congress in July/August, you will have access to the full congress in November/December. In addition to the physical Congress, you will also have access to the online activities that will be organised in the framework of the blended programme as well as to the streamed sessions and the virtual technical exhibition.
  • If you are registered for a specific day of ESTRO 2020, we will retain your registration. As of August, you will be able to select the day that you wish to attend in the updated programme.

I cannot attend ESTRO 2020 on the new dates. What should I do?

If the registration you bought for ESTRO 2020 is no longer a good fit for the new dates, several options are available:

  • Participate online – Should you be unable to participate in the physical congress, you can access all the online content and the live stream of the Congress sessions by transforming your live registration to a digital subscription. When applicable, the difference in fee will be reimbursed.
  • Change your registration type – If you are registered for the full congress in July/August but are no longer able to attend all days in November/December, you can change your status into a one-day registration. ESTRO will reimburse the price difference.
  • Swap with a colleague – If you cannot attend, you can transfer your participation to one of your colleagues who would like to join ESTRO 2020. This option is only valid if your colleague comes from the same institution as you and can access the same fee category (e.g. in training member/student/RTT, ESTRO member, Non ESTRO Member, etc.).
  • Cancel my registration – You can cancel your registration and get a full refund of the registration fee minus handling charges of 15%. This option is available until 2 months before ESTRO 2020, i.e. until 28 September 2020. Between 28 September and 12 November 2020, the refund will amount to 50% of the registration fee. No refund will be possible if the cancellation is postmarked after 12 November 2020.

Of course! If your registration hasn’t been refunded yet, you can notify us at events@estro.org and we will transfer your registration to the new dates. You can also update the status of your registration depending on whether you wish to attend the full Congress, attend digitally, or a specific day (in which case ESTRO will reimburse the remaining balance).

I cancelled my registration to ESTRO 2020 before it was postponed and I have already been refunded. Can I register again?

If you have beeen reimbursed already, we can reactivate your registration and send you a new invoice. We will discount you the 15% handling charges that have been previoulsy deducted from your reimbursement. You can also update the status of your registration depending on whether you wish to attend the full Congress, attend digitally or attend a specific day (in which case ESTRO will reimburse the remaining balance). You can notify us at events@estro.org and we will process your request.

Will ESTRO extend the deadline for the submission of abstracts in light of the ESTRO 2020 new dates?

No, abstract submission was closed on 23 October 2019 and the late breaking abstract submission on 15 January 2020.  The abstract book (containing a compilation of abstracts as foreseen for the original congress dates) is available. Please visit the section ‘Programme’ below.

The deadline for submission of digital posters will remain 20 July 2020. The link to the posters will be made available shortly after this deadline.

Corresponding authors of abstracts selected for oral communication, poster presentations in the poster highlight, poster discussion or poster (electronic only) format, will receive further information via email.
